Terms and Conditions
Into the Wild Tours
These Terms & Conditions (in their entirety) constitute a legally binding agreement between you and Into the Wild Tours Inc. (o/a Into the Wild Tours and referred to below as “Into the Wild Tours”, “us”, “we” or “our”). By making a reservation with us, you are agreeing, on behalf of yourself and all other individuals that wish to participate in your booking, to be bound by these Terms & Conditions (these “T&Cs”). You further agree you are acting as an agent for such other individuals, and these T&Cs will apply to them as a condition of them participating in your reservation. It is your responsibility to bring these to their attention. PLEASE READ THESE T&Cs CAREFULLY PRIOR TO MAKING A RESERVATION. IF YOU DO NOT AGREE WITH THESE T&Cs, including the Waiver requirement, DO NOT PROCEED WITH BOOKING.
1. Booking and Payment
Reservations for our tours must be made in advance through our website, email, or an authorized booking platform. A confirmation email will be sent upon successful payment. Full payment is required at the time of booking unless otherwise specified. Prices are listed in Canadian dollars and a 5% GST tax will be applied to all tickets during the checkout process. Additional fees may apply for customized or private tours. Promotional discounts cannot be combined unless explicitly stated.
Participants must inform us of any medical conditions that may affect their ability to safely join the tour.
2. Release of Liability (Waiver) Required
All guests must review and agree to Into the Wild Tours’ current season Release of Liability, Waiver of Claims, Assumption of Risk and Indemnity Agreement (the “Waiver”) as a condition of participating in any trip with us. If the Waiver is not completed, the individual will not be permitted to participate. The form of the Waiver can be reviewed here.
- By signing the Waiver, you waive your legal rights to sue or claim compensation following an accident. PLEASE READ THE WAIVER CAREFULLY PRIOR TO BOOKING!
- Each adult must complete their own Waiver, and a parent/legal guardian must complete it for their minor child (under 18). We will send you a link to complete your Waiver electronically.
- If you are booking for others, it is your responsibility to ensure you inform them of this waiver requirement and the terms of the Waiver.
- This waiver requirement applies to all participants, regardless of when they are added to the reservation.
- Anyone who does not compete the Waiver will not be permitted to participate in our tour. If anyone in your group has concerns about agreeing to the terms of the Waiver, please cancel your booking within the cancellation period for a full refund. If you are outside your cancelation period, please contact us directly.
We reserve the right to update our Waiver each season (summer and winter). For bookings made before May 1 (summer) or October 1 (winter), we may provide an updated Waiver for the upcoming season on or before these dates. You must review and agree to the current season Waiver to participate. If you, or anyone who wishes to participate, does not agree with the terms of the current season Waiver, you may cancel your booking within the standard cancellation period for a full refund (if you are outside your cancellation period, please contact us directly). If no updates are made, the Waiver originally signed applies.
3. Shared Tours Cancellation and Refund Policy
Cancellations made by the customer at least 24 hours before the scheduled tour will receive a full refund. Cancellations made within 24 hours of the tour will not be eligible for a refund. No-shows will forfeit the full tour cost. In the event that Into the Wild Tours cancels a tour due to unforeseen circumstances such as extreme weather, road closures, or safety concerns, we will provide a full refund or offer to reschedule.
4. Private Shuttle Cancellation Policy
For private shuttle experiences, Into the Wild Tours Inc. applies a different cancellation policy. Cancellations made up to 7 days before departure are eligible for a full refund. Cancellations made less than 7 days before departure are non-refundable. Changes to the booking date or time can be made up to 72 hours before departure (subject to availability). If no suitable alternative date is available, a refund will not be possible. To cancel or reschedule your private shuttle experience, please contact us via phone at 1-403-493-9103 or email at info@intothewildtours.ca
5. Minimum Tour Requirements
Some of our tours require a minimum of four bookings to operate. This requirement will be displayed at checkout. If the minimum number of bookings is not met, we will contact you to offer an alternative tour date. If no suitable alternative is available, a full refund will be issued. If you see nine or fewer seats available when booking, it means the tour has met its minimum and will operate as scheduled.
6. Participant Responsibilities – Departures and Drop-Offs
Departure times and pickup locations are specified in your reminder email, on our website, and through our booking platform. Passengers must board at the designated location chosen during booking. Requests to modify pickup locations must be made at least 24 hours before departure and require confirmation from Into the Wild Tours.
Our shuttle operates according to a pre-determined schedule and will only stop at locations with booked passengers. Pickup times may vary slightly due to traffic or other conditions, so please be prepared for a possible 15-minute window of arrival. Passengers are required to be at their pickup location at least 10 minutes before the scheduled departure time. The shuttle will not wait for late arrivals, and failure to board on time will be considered a no-show, with no refunds or credits issued.
For any concerns about arriving late, please email info@intothewildtours.ca or call us at 1-403-493-9103. To stay informed, we recommend opting in for text and/or email notifications when booking. These notifications provide real-time updates on shuttle status but do not include promotional content.
Return times may differ from those listed at booking, as drivers may adjust schedules based on conditions. Return times are not the same for all passengers. Tour type changes are not permitted on the day of travel. If you miss your return shuttle, it is your responsibility to arrange alternative transportation at your own cost. Into the Wild Tours is not liable for any expenses or incidents resulting from self-arranged transport. Shuttle times on your confirmation and website are for reference only and may vary due to operational needs. Delays beyond our control will not be classified as cancellations.
7. Children
In accordance with legal requirements, children under the age of 6 or weighing less than 40 lbs (18 kg) must be secured in an appropriate child safety seat. Small-group public tours are for participants aged 6 and older. Private tours are open to participants of all ages.
If you are traveling with a child under the age of 6 or under 40 lbs (18 kg), you must contact Into the Wild Tours before booking to confirm accommodation arrangements. Failure to obtain prior approval may result in denied participation without a refund.
8. Pet Policy
Dogs and other pets are not permitted on our private or shared tours. The only exception to this policy is for certified service dogs. If you require the assistance of a service dog, please notify us in advance to ensure proper arrangements can be made. Guests who arrive with a non-approved animal may be denied participation without a refund.
9. National Park Pass Requirement
A Discovery Pass or a Banff National Park Pass is mandatory for all visitors throughout their stay, as stipulated by Parks Canada. These passes can be conveniently purchased online, at Parks Canada’s park gates, and at information centers in Banff and Lake Louise. For further details, visit: https://parks.canada.ca/pn-np/ab/banff/visit/passer-passes. This is NOT included in your trip with us and it is your responsibility to ensure you have the appropriate pass.
10. Parking
Parking is available at our pickup locations; however, it is subject to availability and is not guaranteed. If you choose to park at a hotel for pickup but are not staying there, please inform the front desk and follow the instructions provided by the property. Parking at our pickup locations, and at any other location you choose to use, is at your own risk. We are not responsible for any loss or damage to your vehicle or its contents, nor for any parking tickets or penalties incurred.
11. Weather and Tour Modifications
Tours operate in various weather conditions; however, extreme weather may result in modifications or cancellations. In such cases, we will offer an alternative itinerary or a full refund. We reserve the right to modify the tour route, duration, or inclusions due to road closures, safety concerns, or other operational factors. Refunds are not provided for modified tours.
12. Into the Wild Tours not Responsible for Costs
In the event of cancellation of a reservation in whole or in part for any reason, Into the Wild Tours sole liability is a full refund. Into the Wild will not be responsible to any guest for any travel, interruption or additional costs or lost opportunities, or for any direct, indirect, consequential, liquidated, compensatory, or incidental damages or any other damages or amounts of any nature whatsoever.
13. Photography and Media Policy
Into the Wild Tours reserves the right to take photographs and videos during tours for promotional purposes. By joining a tour, you grant us permission to use such media on our website, social media, and marketing materials without any compensation to you. If you prefer not to be photographed, please inform our guide before the tour begins. Guests may take their own photos and videos for personal use, but commercial photography or videography requires prior written consent from Into the Wild Tours.
14. Communication with Guests
By booking with Into the Wild Tours (either directly or through third-party platforms such as Viator or GetYourGuide), guests agree that Into the Wild Tours may contact them using the phone number provided during booking via phone call, SMS, WhatsApp, or other messaging applications for operational purposes related to their reservation. Such communications may include pick-up instructions, tour reminders, meeting point details, schedule updates, safety notices, or other information necessary for the operation of the tour. These communications are not promotional or marketing in nature.
15. Personal Belongings
Participants are responsible for their personal belongings. Into the Wild Tours is not liable for lost, stolen, or damaged items during the tour. We recommend securing valuables before the tour begins.
16. Damage to Into the Wild Tours Equipment
You will be liable for any loss or damage you cause to equipment provided by Into the Wild Tours.
17. Customer Complaint Policy
After completing your tour, any inquiries or complaints must be submitted to Into the Wild Tours in writing within 30 days of the tour completion. Due to the difficulty of properly investigating complaints after an extended period, compensation may be reduced or forfeited if this procedure is not followed. If your complaint involves negligence by a subcontractor, supplier, or agent, Into the Wild Tours must receive the complaint either during the tour or within 30 days of its completion.
18. Alcohol and Drugs
Consumption of alcohol, cannabis and illegal substances is strictly prohibited during the tour. Any participant found to be under the influence will be removed from the tour without refund.
19. Code of Conduct
We expect all participants to behave respectfully towards the environment, fellow guests, guides and all our staff. Any behavior deemed disruptive, unsafe, or inappropriate (including any form of harassment or violence) may result in removal from the tour without a refund.
20. Gift Certificate
Into the Wild Tours Gift Certificates are not intended for resale purposes and have no cash value. Redemption of the Gift Certificate is subject to Into the Wild Tours’ standard Terms and Conditions, including the requirement that all guests must complete our current season Waiver to participate. If a Waiver is not completed, participation will not be permitted.
21. Governing Law
The trip booking and all disputes relating to or arising out of the booking and these Terms, and any injury, loss or damage suffered by a guest while participating in a booking, are governed by and will be interpreted solely in accordance with the laws of the Province of Alberta and no other jurisdiction and any litigation shall be brought solely within Aberta and shall be within the exclusive jurisdiction of the Courts of Alberta.
